Post-Delivery Fit Claim Evidence Pack: What a Custom Shop Sends the Factory Before Any Alteration

The finished suit is in your fitting room, the client is in it, and the sleeve is long or the trouser seat pulls. The worst next move is the most natural one: let your in-house tailor fix it straight away. Once a seam is opened, nobody can tell any more whether the garment was made off-brief, measured wrong, or simply worn differently from the brief.

This pack is the order of operations we ask for when a delivered MTM or bulk piece has a fit problem. It is about the finished garment, after delivery — not sample feedback, which has its own sample photo set.

Step 1: Report before any alteration

Open a WhatsApp message with the subject line order number + client name or style code — for example "SY-order 1234 / Client Lim". One message per garment keeps the thread readable. Report as soon as the problem is found and before anything is unpicked, pressed out or shortened.

What remedy follows — shop alteration, factory remake or a note for the next order — is agreed in writing for that order. The difference between those routes is explained in remake vs alteration terms.

Step 2: Flat-lay measurements with a readable tape

  • Lay the jacket and trousers flat on a clean table, buttoned, no creases pulled in.

  • Measure the points in question: sleeve length, jacket length, chest across, waist, trouser inseam, outseam, seat, thigh, hem.

  • Photograph the tape on the garment so the number can be read in the photo. A number typed in a message is not evidence; a readable tape in a photo is.

Step 3: Worn photos — front, side, back

  • Client standing naturally, arms relaxed, shoes on.

  • Front, side and back, same light, full length.

  • One close-up of the problem area (collar gap, sleeve pitch, seat drag).

  • If posture matters, a side photo with the client's usual stance. Posture notes are covered in try-on wrinkles and posture notes.

Step 4: Compare against the locked brief

Put three things side by side in the message:

  1. The measurement or detail as written in the locked brief (or sealed sample).

  2. The flat-lay measurement from Step 2.

  3. What the client says is wrong.

Same comparison as a list

  • Garment differs from the brief, client unhappy: a make issue to raise with the factory.

  • Garment matches the brief, client unhappy: look at the measurement or the brief.

  • Garment matches the brief, client's body changed: re-measure and update the fit record.

That table is why Step 1 matters: if the garment was altered first, the first row and the second row look the same.

What this pack is not

  • It is not a claim deadline. Claim terms are agreed per order in writing; we do not publish a day window in a blog.

  • It is not a sample review. Sample photos approve a fit before production; this pack examines a finished piece.

Close the loop

Whatever the outcome, write the correction into the client's fit record so the next order starts from the corrected numbers. Our made to measure suit factory page explains how MTM orders are matched to fit records; the sample policy covers what a sealed sample fixes for later pieces.

FAQ

What are Shi Yuan's order tracks and clocks? Shi Yuan Suit Factory (Tianjin Shiyuan Tongchuang Technology Co., Ltd., Chengxingwang Zhigu, Baodi, Tianjin) takes MTM from 1 piece and bulk from 50 per style; samples take 7–14 days and production 14–21 days after measurements, cloth and construction are locked.

How many days do we have to report a fit problem? Report before any alteration and as soon as you find it. The terms for that order are agreed in writing; we do not publish a day window here.

Can our tailor alter first and send photos later? Please don't. Once seams are opened, the cause can no longer be read from the garment.

Does a fit claim restart the clock? If a remake is agreed, it runs on the production window after the corrected details are locked. Production days are not delivery days.
