Tech Pack and Photo Brief for Private-Label Suit Samples: Beyond Measurements Alone

EU multi-store private-label teams often send excellent measurement charts — and still get the wrong pocket style, lapel width, or vent because the visual brief was a moodboard. At Shi Yuan Suit Factory, MTM starts from 1, bulk OEM from 50, samples run 7–14 days after measurements and fabric are confirmed, and production runs 14–21 days after written confirmation. A tech pack or photo brief is how silhouette details become cuttable facts.

This guide is for overseas private-label clothiers and boutique groups briefing a first sample when measures alone are not enough. It is not for C-end shoppers. Acumenwear is our English export site; the factory brand is Shi Yuan (Baodi, Tianjin · Chengxingwang · Est. 2009).

Measures answer fit. Tech packs answer product.

Missing the middle row is why samples “fit” but fail brand review.

Minimum tech-pack / photo-brief contents

Send one folder or PDF, version-dated:

Jacket

  • Lapel type and approximate width intent (photo with ruler helps)

  • Breast pocket / hip pockets style

  • Vents: none / single / double

  • Button count and stance reference

  • Sleeve buttons / working buttonholes yes-no

  • Ticket pocket yes-no

  • Shoulder intent linked to pad notes — see Lining & shoulder pads

Trouser

  • Pleat / flat front

  • Pocket style

  • Hem finish intent (see also trouser-finish posts when live)

  • Extendable / unfinished hem for boutique alteration yes-no

  • Suspender buttons yes-no

Brand & trim

  • Labels, care labels, hangtags — see Labels & packaging

  • Hardware color intent

  • Packaging for sample vs bulk

Reference rules

  • Which photos are mandatory vs inspiration-only

  • Which competitor photos are not to be copied stitch-for-stitch if legal/brand risk exists — describe the detail instead

  • One seal owner for conflicting comments from design vs buying

How EU groups should structure the WhatsApp handoff

  1. Opener: country, doors count, private-label intent, monthly volume band

  2. Attach: tech pack PDF + measure/chart file + fabric notes

  3. State construction

  4. State sample goal: seal for bulk from 50, or exploratory MTM from 1

  5. Name the person who can say pass / revise / fail

Incomplete collage folders (20 images, 0 decisions) delay the 7–14 day clock because we must clarify before cut.

Photo brief quality bar

Good:

  • Front / side / back of a reference garment you own rights to show

  • Close-ups of pocket, lapel, vent

  • Notes overlay: “match this pocket; ignore this lining”

Weak:

  • Runway screenshots with no callouts

  • Contradictory Pinterest boards

  • “Make it premium” with no detail list

Checklist before first private-label sample

  • [ ] Tech pack or annotated photo PDF version-dated

  • [ ] Measures or house block attached

  • [ ] Construction named

  • [ ] Fabric path confirmed or plan dated

  • [ ] Label artwork attached or marked “temp sample labels OK”

  • [ ] Seal owner named

  • [ ] Bulk-from-50 intent flagged if this sample is the master

Partner pricing is quoted in writing after scope — not as fake catalog prices here.

What we will push back on

  • Inspiration-only folders with no mandatory callouts

  • Changing lapel and pocket after cut without a new quote

  • Three stakeholders sending opposite photo comments in parallel threads

  • Asking for production booking before the sample seal

From photo brief to sealed bulk

  1. Sample against tech pack + fabric confirm (7–14 days after confirms)

  2. Written seal including detail callouts, not only chest size

  3. Size chart if graded run — see Size-run grading

  4. Production 14–21 days after written confirmation for bulk from 50

How design and buying should freeze the pack

EU groups often fail when design sends v3 while buying still quotes v1:

  • Put the version date in the filename (techpack-modelX-2026-10-14.pdf)

  • WhatsApp caption must repeat the filename

  • After freeze, only the seal owner can unlock changes

  • Fabric confirm references the same version

Factories cut files, not intentions. A frozen pack is how private-label samples stay comparable across doors in Germany, Netherlands, and beyond.

Common questions from EU private-label teams

Do you require a formal tech pack template? No single template is mandatory. Complete callouts in PDF or spreadsheet form work. Chaos folders do not.

Can we start with photos and add a pack later? Better to freeze details before cut. Mid-sample redesigns are quoted as new work.

Will you sign an NDA for our pack? Discuss NDA/pattern handling early — see NDA & pattern protection.

Bottom line for tech packs and photo briefs

Private-label samples need fit data + product details + construction + fabric. Put details in one version-dated brief, name a seal owner, then use the 7–14 / 14–21 day windows with confidence. Your brand owns the model language; we keep the make consistent.
