Reorder Point Formula for Private-Label Suit Styles: When to Place the Next Run of 50

A private-label suit style that sells steadily runs out at the worst moment: just after the brand notices. The fix is old and simple — a reorder point, the stock level at which you place the next order so that it arrives before the shelf is empty.

The formula is standard inventory maths. What suit brands get wrong is the lead-time input, usually by treating the factory's production window as the whole journey.

The formula

Reorder point = (average weekly sales × lead time in weeks) + safety stock

  • Average weekly sales: units of the style sold per week, from your own data.

  • Lead time: everything between placing the reorder and having sellable stock.

  • Safety stock: a buffer for weeks that sell faster or shipments that run slower.

Building the lead time properly

Part of lead time Who supplies the figure Notes Order lock You and the factory Size split, cloth and construction confirmed; a reorder against a sealed sample is quick to lock Cloth availability Factory If the cloth must be ordered, the clock waits for it Production Factory 14–21 days after the lock Freight Your forwarder Mode and route decide this Customs Your broker Market-specific Receiving and tagging Your warehouse Count, check, put away

Same table as a list

  • Order lock (you and the factory): size split, cloth and construction confirmed; a reorder against a sealed sample is quick to lock.

  • Cloth availability (factory): if the cloth must be ordered, the clock waits for it.

  • Production (factory): 14–21 days after the lock.

  • Freight (your forwarder): mode and route decide this.

  • Customs (your broker): market-specific.

  • Receiving and tagging (your warehouse): count, check, put away.

Production days are not delivery days, so the factory figure is one row of six. A new style also needs a sample first — 7–14 days — but a reorder against an existing sealed sample does not. Cloth timing is explained in cloth in stock vs mill order, and a fill-in sheet for the whole chain is in the lead-time sheet.

A worked example in units

A brand sells a charcoal suit at an average of 6 units a week. Its own total lead time — lock, production, freight, customs and receiving, added up from the rows above — comes to 7 weeks. It keeps 2 weeks of sales as safety stock.

  • Demand during lead time: 6 × 7 = 42 units

  • Safety stock: 6 × 2 = 12 units

  • Reorder point: 54 units

When stock of that style falls to 54, the brand places the next run. The run itself is bulk from 50 per style, so a reorder of 50 or more fits the factory track; the brand sizes it to cover sales until the following reorder.

The 7 weeks is this example brand's own number, not ours. Our part is the production row.

Two adjustments suit brands need

  1. Reorder points by size, not just by style. A style with plenty of 46R and no 40R is out of stock for most customers. Track the top sizes separately.

  2. Plan around holiday breaks. Order early before Spring Festival; confirm holiday dates on WhatsApp +65 8013 8838 rather than relying on last year's.

Customers in sizes the run does not carry can be served through MTM from 1 without changing the reorder point. Reordering against the same sealed sample is described in reorder after a sealed sample; bulk runs are on our private label suit manufacturer page and the order steps on our process page.

FAQ

What are Shi Yuan's order tracks and clocks? Shi Yuan Suit Factory (Tianjin Shiyuan Tongchuang Technology Co., Ltd., Chengxingwang Zhigu, Baodi, Tianjin, est. 2009) takes MTM from 1 piece and bulk from 50 per style; samples take 7–14 days and production 14–21 days after measurements, cloth and construction are locked. Should safety stock cover a factory delay? It should cover the variation you have actually seen. Ask for the cloth position before each reorder to reduce surprises.

Can I reorder fewer than 50? A bulk reorder is from 50 per style. Single pieces are served through MTM from 1.

Does the reorder need a new sample? Not if it runs against the same sealed sample with no changes.
