Reorder After a Sealed Sample: How Repeat Suit Runs Work with a China Factory
Southeast Asia buyers who already sealed a sample should not restart from zero every season. A reorder after sealed sample is a process step: same make rules, new quantities, confirmed fabric. At Shi Yuan Suit Factory, MTM continues from 1, bulk OEM from 50, samples are 7–14 days after confirm when you need a new seal, and production is 14–21 days after confirmation for locked runs.
This guide is for overseas custom shops and private-label buyers placing repeat orders — not C-end retail. Acumenwear is the English export site; Shi Yuan is the factory (Baodi, Tianjin · Chengxingwang · Est. 2009).
What “sealed sample” must mean
A usable seal includes:
Approved physical sample (or mutually accepted photo + measurement record when agreed)
Named construction: fused / half canvas / full canvas
Measurement / size spec with tolerances
Trim and label placement notes
Fabric quality reference (and whether reorder must match dye lot / quality)
Written “OK to produce” from one owner
If any of those are missing, you do not have a seal — you have a memory.
Reorder paths SEA buyers actually use
A) Repeat MTM / made-to-order from 1
Client measures (or house blocks) + sealed construction
Fabric confirm per order (mill-indent or stock)
Sample only if something material changed
Otherwise move toward production rhythm against the known make
B) Bulk OEM from 50 against the seal
PO with size run and colorways
Fabric confirm
Production 14–21 days after written confirmation
Factory QC against seal; third-party on request
C) Hybrid
Bulk core SKUs from 50+
MTM specials from 1 for VIP clients on the same construction language
Reorder checklist (send on WhatsApp)
Seal ID / sample date / photo set
What changed since last run (nothing / fabric / trim / size curve)
Quantity and size break
Target ship week
Fabric path confirmation
Label stock status (do you have enough woven labels?)
Packaging same as last time?
Incoterms and ship-to
See Process.
When you must sample again
Re-sample (7–14 days after confirm) if you change:
Construction band
Core pattern / shoulder / silhouette
Fabric hand-feel category in a way that affects make
Major trim system (e.g., new lining program that changes finishing)
Do not silently “improve” a sealed model mid-reorder without writing it down.
What speeds reorders up
Keeping one WhatsApp thread with history
Storing seal photos and measurement sheets in a shared folder
Reordering labels before the PO, not after cutting
Confirming fabric before asking for a production date
Naming one approval owner
What slows reorders down: new stakeholders rewriting fit, unpaid sample debates, and fabric fantasy dates.
Commercial notes without fake prices
Partner pricing for reorders is still quoted from current scope — fabric moves, trim moves, construction moves. We do not publish invented USD retail prices. Ask for a written quote on WhatsApp or email.

Bottom line for SEA reorders
Seal once with discipline. Reorder with a checklist. Use MTM from 1 for continuity and bulk from 50 for capsules. Keep production inside a 14–21 day window after confirm by not reopening settled make decisions. That is how repeat runs feel calm.

Version control for seals
Treat seals like software versions:
Seal v1 — first approved sample
Seal v1.1 — trim-only change with written note
Seal v2 — silhouette or construction change (requires new sample)
Reorders should cite the version. “Same as last time” without a version is how silent drift starts.
Fabric confirm on every reorder
Even loyal SEA programs should re-confirm:
Is the quality still available (stock) or on mill schedule (indent)?
Any composition change that affects care labels?
Any hand-feel change that should trigger a new sample?
Fabric confirm is what keeps sample 7–14 and production 14–21 honest.
Who can approve a reorder PO
Name:
Commercial approver (money)
Technical approver (make matches seal)
Logistics approver (ship-to and Incoterms)
One WhatsApp group with three silent stakeholders is slower than three named roles.
Metrics to watch after repeat runs
On-time vs confirmed production window
Defect rate vs seal standard
Label/pack errors
Client alteration rate after delivery
How often “small changes” forced a re-sample
Improve the system with numbers. Do not only escalate when a carton is wrong.
Handoff when your buyer changes jobs
SEA teams rotate. Protect reorders by keeping:
Seal archive offline from one person’s phone
PO templates with seal version fields
A short “how we work with Shi Yuan” internal note
Backup email houzhenying226@gmail.com on record
Factories should not be your only archive — and you should not be the factory’s only memory.
Partial reorders and split shipments
If you reorder 80 units but need 40 urgently:
Say so before confirmation
Agree whether one production confirmation splits into two ships
Understand that split ships can change freight economics
Keep both halves tied to the same seal version
Ambiguous “ship whatever is ready” instructions create carton chaos.
Closing for repeat buyers
The sealed sample is an asset. Treat reorders as asset reuse. MTM from 1 and bulk from 50 both inherit that asset when you stop redesigning under pressure.
