Sample Suit Approval: The WhatsApp Photo Set That Prevents Silent Regret
A sample approved from a front-only selfie is how fifty jackets inherit a back vent that flares and a collar that sits off. The fix is not more adjectives in the WhatsApp thread. It is a fixed photo set that every seal must pass before you type "approved."
This checklist is for custom shops and private-label buyers sealing samples with Shi Yuan Suit Factory in Baodi, Tianjin. It complements our fit photo approval and first sample checklist notes — those cover fit language and first-sample prep; this one freezes the approval album.
Why the photo set is part of the commercial clock
We build samples in a 7–14 day window after measurements (or size) and cloth are confirmed. Production after written approval sits in a 14–21 day window. Photos are how written approval gets evidence. If you approve in text without the set, you still own the miss.
The required set (send all of these)
| Shot | Framing | What you are checking |
|---|---|---|
| Front, buttoned | Full jacket + trousers, shoes visible if length matters | Balance, button stance, trouser clean |
| Front, open | Jacket open, shirt visible | Chest roll, lining flash, gorge |
| Side (both if asymmetric) | Arm relaxed, natural stance | Shoulder line, pad ridge, sleeve pitch |
| Back | Full back, jacket buttoned | Vents, centre seam, collar hug |
| Seated (trousers / jacket) | Client or model sitting | Seat ease, vent behaviour |
| Details collage | Lapel, buttonhole, pocket, hem, label | Spec vs brief |
Optional but useful: under-collar, inside breast pocket, trouser inside waistband.
Lighting and phone rules that actually matter
- Daylight or bright even indoor light — no yellow restaurant lamps.
- No beauty filters; no wide-angle distortion from 10 cm away.
- Fill the frame; crop feet only if length is already frozen.
- One message album labelled with style code + date + "SEAL SET".
The approval message template
Copy this into WhatsApp when the set is complete:
- Style / sample ID: __
- Decision: APPROVE / APPROVE WITH NOTES / REVISE
- Notes (if any): list by shot — e.g. "Back: left vent 1 cm short"
- Photo set: attached (counts: __)
- Next: proceed to bulk / remake sample / hold
"Approve with notes" should only cover items that do not change the pattern (e.g. press sharper). Pattern or construction notes → REVISE, not soft approve.
Who takes the photos
Ideally the shop fitter takes the set on a known body (client or fit model) in the shop's lighting. If the sample is approved remotely from photos the factory sent, demand the same angles from us — and still repeat a quick set when the sample reaches your shop before you open bulk. Factory photos prove construction; shop photos prove fit on your block.
Timing discipline
Do not let the sample sit in a drawer for three weeks and then blame the production window. The production clock starts at written approval. If you need a committee sign-off, put a date on it when the sample arrives. Quiet days between arrival and APPROVE still count against your client's calendar, not ours.
Remake vs note
REVISE means we make another sample (or a corrected part) before bulk. Notes that change pattern, canvas, pad, vent length, rise or seat ease are REVISE. Notes about pressing, hanging, or removing transit tacks can be APPROVE WITH NOTES. When in doubt, REVISE — bulk multiplies mistakes.
What this set will not catch
- Shade difference under store lighting vs daylight — ask for a cloth lot note separately.
- Hand-feel and fuse quality — touch the sample or request a fuse-map confirmation.
- Graded sizes — one sample does not prove every size; grading is a separate lock (size run grading).
Where this sits in the process
Photo seal → written approval → production clock. Map the steps on our process page and the documents we need on sample policy.
Worked example (hypothetical)
A Berlin MTM boutique almost approved a half-canvas sample from a front photo. The back shot showed a collar gap. They sent REVISE with the back image circled, we remade the sample, and bulk never saw the gap. The remake used part of the sample window; the chargeback would have used the whole season.
Send the set, then the decision word
Country, monthly volume, MTM or bulk, sample ID, and APPROVE / REVISE with the album.

Naming the form
Write whether the photos are on a person or a form. Dress-form approvals do not prove sleeve pitch on a moving shoulder. If the client cannot attend, say so and treat the seal as provisional until an in-store fit.
Factory-side photos vs shop-side photos
If we send you in-line photos from Baodi, treat them as a construction preview, not a final seal. The seal that starts the production clock should be your shop-side set whenever the sample has reached you. When freight delay forces a remote seal, say so in the approval message ("REMOTE SEAL — shop confirm on arrival") so both sides know a second check is still owed.
Naming files so nothing gets lost
WhatsApp compresses images. If a detail shot matters (buttonhole, pick stitch, vent length), send a second uncompressed file by email to houzhenying226@gmail.com with the same style ID. Keep one folder per style on your side: SEAL SET + approval text + any remake notes. Reorders six months later will thank you.
What silent regret looks like
You approve a sample from one front photo. Bulk arrives. The first client notices the collar sitting high when he turns his head. You have no side shot in the thread to prove what you approved. The photo set above is cheaper than that argument.
