How We Work with Overseas MTM Boutiques (WhatsApp → Sample → Seal → Bulk)
MTM boutiques do not need a 40-page vendor handbook. They need a path that survives busy Saturdays. Here is how Shi Yuan Suit Factory works with overseas MTM shops — from first WhatsApp to sealed sample and optional bulk.
Shi Yuan = factory (Baodi, Tianjin, est. 2009). Acumenwear = English export site.

Stage 1 — WhatsApp inquiry
Send a short brief (country, boutique type, MTM vs bulk, monthly volume, construction). We aim to reply within 12 hours on business days.
What we clarify early:
Are you testing make quality or already planning a capsule?
Do you send cloth or need mill-indent / stock discussed per order?
Who is the fit decision-maker on your side?

Stage 2 — Fabric and pattern
Share measurement forms or agreed blocks
Lock construction
Confirm fabric path
Write fit intent and revision expectations before cut
This stage prevents the classic boutique failure mode: beautiful Instagram expectations with incomplete specs.
Stage 3 — Sample
One MTM sample suit in 7–14 days after confirmation. Fee and shipping quoted first.
You receive a garment you can fit on a client or house model. Feedback should be written — voice notes alone get lost.
Stage 4 — Seal
Approve the sealed sample in writing. The seal is the contract for make — not a mood board.
Post-seal changes are quoted case by case.
Stage 5 — Production and QC
Continue MTM from 1 as clients book, and/or
Place bulk from 50 when you need stock sizes / colors
Production lead time: 14–21 days after confirmation. Factory QC vs sealed sample. Third-party inspection on request.
Stage 6 — Ship
Ship to your terms. Transit damage follows the shipping terms you choose. Pack-out follows your packaging direction when private label applies.

What boutiques get (and do not get)
You get:
Your label and packaging direction
Written construction options
Partner pricing on request (CMT or full make, ex-works)
English day-to-day WhatsApp contact
Pattern / brand-asset respect; NDA on request
You do not get:
A consumer lifestyle brand competing in your city under our name
Invented public price lists
Unverified award spam in place of process clarity
Cadence that works for small teams
Weekly rhythm / Owner
New MTM briefs: Boutique
Confirmations & quotes: Shi Yuan on WhatsApp
Fit reviews: Boutique
Seal emails / messages: Joint
Bulk PO when ready: Boutique
Keep one thread owner per side. Boutique chaos multiplies when five staff send conflicting measurements.
Linking boutique retail to factory facts
Your sales floor can still speak in client language. Your factory brief must speak in:
Numbers (MOQ, days)
Construction names
Measurement completeness
Seal discipline
That translation is your margin protection.
When to stay on MTM vs open bulk
Stay on MTM from 1 while fit language is still evolving
Open bulk from 50 when core SKUs repeat and seal is stable
Companion reading on bulk timing helps planning before peak season.
Bottom line
WhatsApp → fabric/measurements → sample → seal → MTM continuity and/or bulk. Simple on purpose. Numbers stated on purpose.
Start the thread when you have a real brief — not when you only want a brochure.
Why boutiques benefit from a short path
Boutique teams are small. Long vendor onboarding documents die unread. A five-stage path with numbers survives:
Inquiry → Fabric/Pattern → Sample → Seal → Produce/Ship
Each stage has an exit criterion. If a stage is incomplete, we do not pretend the next clock started.
English WhatsApp norms that save time
One thread per program when possible
Summaries after voice notes
Files labeled
Decisions restated in text (“Sealed: yes, 12 Oct”)
We target first replies within 12 hours on business days. Complex pattern questions may need a follow-up with more detail — that is normal.
Fit culture differences (plan for them)
A boutique in one country may prefer closer chests than another. Write preferences. Do not assume a “standard MTM” global taste exists. The seal is how taste becomes specification.
Using MTM and bulk together without confusing staff
Create internal SKU rules:
MTM-CLIENT — from 1, client measures
CORE-BULK — from 50, graded
Same workshop, different paperwork. Train staff which path a ticket uses before messaging the factory.
Onboarding week suggested agenda
Day 1: WhatsApp intro + construction talk Day 2–3: forms + fabric plan Day 4: sample quote accepted After confirm: sample window 7–14 Fit week: notes + seal Later: bulk planning if needed
Your dates will vary; the sequence should not.
What we optimize for
Sample orders and repeat programs — not anonymous traffic. If you are ready to test make, say so. If you are only collecting brochures, say that too; we will still be polite, but the thread priority differs.

Closing
Boutiques win with short written loops. WhatsApp starts it. Sample proves it. Seal locks it. Bulk or MTM continuity extends it.
