A shipment of suits arrives. One carton is crushed at a corner; inside, two jackets are creased hard and one has a mark on the sleeve. Another carton looks perfect, but a jacket inside has a sleeve 2 cm longer than the others. These are two different problems with two different owners, and mixing them up slows both.
Transit damage is usually a matter for the carrier or the cargo insurer. A defect that was in the garment before the carton was sealed is a matter for the factory. Sorting them on arrival day is the most useful thing a receiving shop can do.
What you see, and who it probably belongs to
Crushed or torn carton with creased garments beneath: probably transit. Photograph the carton outside, then inside, before unpacking.
Water marks or damp carton: probably transit. Photograph carton and garments; note it on the delivery receipt.
Intact carton, sewing defect or open seam: probably factory. Photograph the defect, garment label and carton label.
Intact carton, measurement out of spec: probably factory. Photograph the tape on the point and the spec line.
Intact carton, wrong size or label: probably factory. Photograph the label and the order line.
Heavy creasing in an intact carton: depends on how it was packed. Photograph the fold.
Arrival-day routine
Before signing for the delivery, look at every carton. Note visible damage on the delivery receipt.
Photograph damaged cartons from outside before opening.
Open, photograph again, then unpack.
Keep the damaged cartons and packing until the claim is settled.
Sort garments into three piles: fine, transit damage, possible factory fault.
Send the factory-fault pile to the factory with photos; send the transit pile to whoever handles your cargo claim.
Time limits: check yours the same day
Carriers, insurers and contracts each set their own time limits for reporting damage, and they can be short — especially for damage that was not visible at delivery (often called concealed damage). We do not quote those limits here because they are not ours to set. Check the terms on your shipment the day it arrives.
Who buys the insurance?
That depends on the delivery term agreed for the order. Under some terms the seller arranges cargo insurance; under others the buyer does. Settle it before the shipment leaves; our Incoterms note explains the common options. Packing method affects creasing, too: hanger vs fold packing covers the choice.
What the factory can help with either way
Even for transit damage, the factory can help establish what left the workshop: ask for the carton count, carton labels and any packing photos taken for your order. For factory faults, the remedy is agreed on the thread. The order of steps from cutting to dispatch is on our process page.
Clocks
Production takes 14–21 days after measurements, cloth and construction are locked; samples take 7–14 days. Production days are not delivery days — transit time, and transit risk, sit after production. That is true for MTM from 1 parcels and bulk from 50 cartons alike; bulk programmes are on our suit manufacturer China page.
If a shipment from us arrives damaged, send the photos on WhatsApp +65 8013 8838.
