Receiving a Bulk Suit Delivery Under Your Label: A Receiving-Inspection Checklist for the Stockroom

Pre-shipment inspection happens at the factory. Receiving inspection happens at your end, and it is the step many private-label brands skip because the cartons look fine and the season is already late. Then a size is short on the shop floor in week two, or a label sits on the wrong side, and nobody knows whether it left the factory that way.

This checklist is for the person opening the cartons. It compares what arrived with what was ordered and what was sealed. Pre-shipment options are covered separately in QC before bulk.

Before you open anything

  • Have the purchase order (style, quantity, size split), the packing list and the sealed sample or its approval photos within reach.

  • Photograph the cartons as they arrived: count, outer condition, any crush or water marks. That photo belongs to your carrier claim if there is one, not to the factory thread.

Step 1: Count against the packing list

  1. Carton count matches the packing list.

  2. Pieces per carton match the list.

  3. Size split per style matches the purchase order.

Write any difference down by style and size before moving on.

Same checks as a list

  • Main label: position and stitching as on the sealed sample.

  • Size label: code matches the size split you ordered.

  • Care and content label: present, as per your supplied artwork.

  • Buttons, lining, pockets: as on the trims list locked before bulk.

The trims lock itself is described in button and trim lock before bulk.

Step 3: Spot measurements against the spec

Pick a few pieces from each size — how many is your own sampling plan — and measure the points on your size spec: chest across, jacket length, sleeve, waist, inseam. Photograph the tape on the garment, as you would for a fit claim. Compare with the graded spec, not with a body measurement; the difference is explained in body vs finished garment measurements.

Step 4: Shade and handling

  • Lay one jacket from each carton side by side in daylight. Look for shade difference between cartons.

  • Check for transit creasing. Suits folded for transport often need steaming before the rail; that is a finishing step, not a defect.

Shade across lots is covered in fabric lot shade consistency.

Step 5: Report in one message

If something is off, send one WhatsApp message with:

  • Order number and style code in the first line.

  • The difference (count, size, label, measurement, shade) by style and size.

  • Photos with readable tape or visible labels.

Start the thread on WhatsApp +65 8013 8838. How remedies are handled is agreed in writing for that order.

Why this matters for the next run

A receiving record turns a reorder from a guess into a correction. If a size ran short, the next size split changes; if a label moved, the trims sheet gets a photo. Bulk runs from 50 per style; MTM from 1 orders arrive individually and are checked garment by garment instead. Our suit manufacturer China page explains bulk runs, and the process page shows where inspection sits.

FAQ

What are Shi Yuan's order tracks and clocks? Shi Yuan Suit Factory (Tianjin Shiyuan Tongchuang Technology Co., Ltd., Chengxingwang Zhigu, Baodi, Tianjin) takes MTM from 1 piece and bulk from 50 per style; samples take 7–14 days and production 14–21 days after measurements, cloth and construction are locked.

How many pieces should we measure on receipt? That is your sampling plan. We recommend a few per size at minimum and more on a first run.

Do production days include transit? No. Production days are not delivery days; transit is your carrier's line.

Who handles carton damage? Photograph it on arrival and raise it with your carrier first; send the factory the garment-level findings.
