After the First Call with a Suit Factory: Six Things a Custom Shop Should Have in Writing
A first call with a factory is easy to enjoy and hard to remember. Someone is friendly, numbers are mentioned, the time difference makes it late, and a week later two people at your shop recall different minimums. The fix is simple: a first call is not finished until its answers are in writing on the same thread you will order on.
Which questions to ask is covered in our factory vs trading company question sets. This post is about the end of the call: what you should be holding afterwards.
The six written items
Order tracks. The smallest order per track, in the factory's words. Ours: MTM from 1 piece; bulk from 50 per style.
Sample days. Ours: 7–14 days.
Production days. Ours: 14–21 days.
When the clock starts and what it covers. Ours starts after measurements, cloth and construction are locked. Production days are not delivery days — freight and customs are separate lines.
Sample rules. What a sample is for, what happens when it is approved (sealed), and what changes need a new sample. Our sample policy sets this out.
Channel and entity. The WhatsApp number or email the order runs on, and the factory's full legal name and address, matching what you see elsewhere.
If any of the six is still verbal, the call is not done.
The recap message
Send it within a day, on the channel you will use for orders, and ask for a reply that confirms or corrects each line:
"Thanks for the call. To confirm: (1) tracks: MTM from 1, bulk from 50 per style; (2) sample 7–14 days; (3) production 14–21 days; (4) clock starts after measurements, cloth and construction are locked, delivery not included; (5) sample is approved before production, changes after approval are a new lock; (6) orders on this WhatsApp, entity Tianjin Shiyuan Tongchuang Technology Co., Ltd., Chengxingwang Zhigu, Baodi District, Tianjin. Please correct anything wrong."
A factory that corrects one line is more useful than one that replies "OK" to everything.
Good answers and warning signs
Topic Good written answer Warning sign Minimums A number per track "Flexible", no number Days A range and a start point A single fast number, no start point Delivery Kept separate from production "Door to door in X days" with no breakdown Sample What it fixes and what restarts it "No need for a sample" on a first order Entity Full legal name and address A trading name with no legal entity
Same signs as a list
Minimums: good — a number per track; warning — "flexible" with no number.
Days: good — a range with a start point; warning — one fast number without a start point.
Delivery: good — separate from production; warning — a single door-to-door figure with no breakdown.
Sample: good — what it fixes and what restarts it; warning — "no need for a sample" on a first order.
Entity: good — full legal name and address; warning — a trading name alone.
How to cross-check the entity line is in verify a factory direct on WhatsApp.
The two weeks after the call
Days 1–2: recap sent and confirmed.
Days 3–7: first brief — measurements, cloth, construction — sent and questions answered. Our first WhatsApp brief lists the fields.
Lock: when the factory confirms measurements, cloth and construction, the sample clock (7–14 days) starts.
The wider onboarding outline is in your first 30 days with a China MTM factory. How a lock turns into a slot is on our suit manufacturer China process page.
Keep it where you order
Write the recap on the order channel, not in a separate email chain. When a question comes up in month three, the answer is in the same scroll as the orders. Start one on WhatsApp +65 8013 8838.
FAQ
What are Shi Yuan's order tracks and clocks? Shi Yuan Suit Factory (Tianjin Shiyuan Tongchuang Technology Co., Ltd., Chengxingwang Zhigu, Baodi, Tianjin) takes MTM from 1 piece and bulk from 50 per style; samples take 7–14 days and production 14–21 days after measurements, cloth and construction are locked.
Should the recap include prices? Pricing is quoted per order in writing; keep it in the quote, and keep this recap to terms.
What if the factory will not confirm in writing? Treat that as the answer to the call.
Is a sample required after the call? For a first MTM or bulk order, a sample is the route we recommend.
